Monitoring and Activity Overview

Track performance metrics, set up alerts, and troubleshoot common issues with your AI Employees.

Dashboard Activity Overview

The main dashboard provides a high-level view of all AI Employee activity. Active employees show their most recent interaction, while the status indicators give you a quick health check across your entire team of AI Employees.

For a more detailed view, each employee's Activity tab shows comprehensive metrics and history.

Key Performance Metrics

Monitor these metrics to understand how effectively your AI Employees are working:

  • Response Time — How long it takes from receiving a message to sending a reply. Typical response times are 2-10 seconds for simple lookups and 10-30 seconds for complex tasks requiring multiple tool calls.
  • Task Completion Rate — The percentage of tasks that complete successfully versus those that fail. A healthy rate is above 95%.
  • Tool Usage — Which tools are being used most frequently. This helps identify the most valuable capabilities and spot tools that might need configuration adjustments.
  • Active Conversations — How many conversations are happening across all channels. Helps you understand utilization and plan for scaling.

Setting Up Alerts

Configure alerts to stay informed about important events without constantly monitoring the dashboard:

  • Failure Alerts — Triggered when a task fails. Includes the error details so you can investigate quickly.
  • Circuit Breaker Alerts — Triggered when an employee is automatically paused after three consecutive failures. This requires immediate attention.
  • Connection Alerts — Triggered when an integration disconnection is detected. Your AI Employees cannot function without their data connections.
  • Quota Alerts — Triggered when you approach usage limits on your plan.

Alerts are delivered via email by default. You can configure additional notification channels in Settings.

Common Issues and Solutions

Connection Errors

Symptom: The AI Employee responds with "I'm unable to access the data right now" or similar.

Cause: The integration connection has expired or been revoked.

Solution: Go to Integrations and reconnect. OAuth tokens for QuickBooks and Shopify expire periodically and need to be refreshed.

Timeout Errors

Symptom: Tasks show as failed with a timeout error.

Cause: The request required too many tool calls or processed too much data.

Solution: Break the request into smaller, more specific tasks. Instead of "analyze all sales data," try "show me this month's top 10 customers by revenue."

Permission Denied

Symptom: The employee says it does not have permission to perform an action.

Cause: The required tool is disabled in the employee's settings, or the integration does not support that capability.

Solution: Check the employee's tool settings and enable the required tool. If the tool is not available for your integration, you may need to connect an additional system.

Unexpected Responses

Symptom: The AI Employee gives incorrect or unexpected answers.

Cause: The instructions may be ambiguous, or the knowledge base may contain outdated information.

Solution: Review the employee's instructions for clarity. Check the knowledge base for outdated documents. Use the activity log to see exactly what data the employee accessed and how it reasoned through the response.

When to Contact Support

Contact ianai support if you experience:

  • Persistent failures that you cannot resolve with the steps above.
  • Integration connection issues that persist after reconnecting.
  • Unexpected behavior that does not match the employee's configuration.
  • Platform errors or availability issues.

When contacting support, include the employee name, the activity log entry showing the issue, and any error messages. This helps us diagnose and resolve the problem quickly.
